Arkco Supply Inc., operating as Arkco or Arkco Electrical Supply (“Arkco” or “we”), is committed to maintaining the accuracy, security, and privacy of personal and business information in accordance with applicable privacy legislation. This Privacy Policy (the “Policy”) applies to the collection, use, processing, and disclosure of personal and sensitive business information obtained from customers, contractors, suppliers, authorized representatives, and other individuals (“you”) in connection with account creation and account management, including through Arkco’s enterprise systems such as Odoo ERP.


CONSENT

BY SUBMITTING PERSONAL OR BUSINESS INFORMATION TO ARKCO, YOU AGREE THAT ARKCO MAY COLLECT, USE, STORE, AND DISCLOSE SUCH INFORMATION IN ACCORDANCE WITH THIS PRIVACY POLICY AND AS PERMITTED OR REQUIRED BY LAW. Subject to legal and contractual restrictions, you may withdraw your consent at any time by contacting Arkco as set out below. If consent is withdrawn, Arkco may be unable to provide or continue to provide certain services, including account access, credit terms, or pricing arrangements.


1. What personal information do we collect?

For the purposes of this Policy, personal information includes information about an identifiable individual. Business information may include sensitive financial or operational information relating to a business entity and its authorized representatives.

We may collect, use, store, and transfer the following categories of information:

(a) Identity and Authorization Information

Includes first and last name, job title, role, and signing authority of owners, officers, directors, or authorized representatives.

(b) Business Contact Information

Includes business name, operating name, business address, email address, telephone number, and mailing address.

(c) Account and Order Information

Includes customer account numbers, order history, invoices, statements, pricing tiers, special price agreements, purchase orders, and account activity.

(d) Financial and Credit Information

Includes banking information for payment processing, trade and credit references, payment terms, credit limits, internal credit assessments, and payment history.

(e) Contractual and Project Information

Includes project-specific pricing, volume agreements, contracts, correspondence, and related documentation.

(f) Technical and System Information

Includes login credentials (stored in encrypted or hashed form), user access levels, audit logs, IP address, login timestamps, and system usage data within Odoo.

If you provide Arkco with information relating to another individual or business, you represent that you have obtained all necessary authorizations and consents to enable Arkco to collect, use, and disclose such information for the purposes set out in this Policy.


2. How do we collect you personal information collected?

We collect information through the following methods:

(a) Direct interactions

You may provide information when you:

  • Apply for a customer or credit account

  • Submit account or credit application documents

  • Place orders or request pricing agreements

  • Communicate with Arkco by email, phone, in person, or electronically

(b) Indirect interactions

We may collect information from:

  • Financial institutions and payment processors

  • Credit reporting or evaluation services (where applicable)

  • Trade references or authorized third parties

(c) Automated technologies

When accessing Arkco systems, including Odoo, we may automatically collect technical and system usage information for security, audit, and operational purposes.

We may use personal and business information for the following purposes:

  • To evaluate and approve customer and credit accounts

  • To establish pricing, payment terms, and credit limits

  • To process orders, invoices, payments, and collections

  • To comply with accounting, tax, and legal obligations

Arkco may disclose personal or business information in the following circumstances:

Personal and business information may be processed or stored in jurisdictions outside your province or Canada. Where applicable, Arkco applies safeguards consistent with Canadian privacy laws.

Arkco retains personal and business information only as long as necessary to fulfill the purposes outlined in this Policy or as required by law. Information may be archived, anonymized, or securely destroyed in accordance with Arkco’s retention policies.

Arkco uses administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including:

  • Role-based access controls within Odoo

  • Secure authentication and password policies

  • Encryption of sensitive data where applicable

  • System access logging and monitoring

  • Restricted internal access on a need-to-know basis


7. Electronic Communications

Arkco may send transactional or account-related electronic communications. Marketing communications will only be sent in accordance with applicable legislation and include unsubscribe options.

Subject to applicable law, authorized representatives may request access to or correction of their information held by Arkco. Requests must be submitted in writing and may require verification of authority.


9. Accuracy of Information

You are responsible for ensuring that all information provided during account setup and account updates is accurate, complete, and up-to-date. Prompt notification of changes to business structure, authorized representatives, or financial details is required.


10. Changes to this Policy

Arkco reserves the right to update this Policy at any time. Revised versions will be published as required. Continued use of Arkco services constitutes acceptance of the updated Policy.
